Terms & Conditions


We do not require a signed agreement: your use of any services or resources provided by us, including this website, denote your complete agreement with and acceptance of these terms and conditions.


  1. Your Virtual Assistant is referred to as ‘Your Virtual Assistant’ ‘we’, ‘us’ or ‘Supplier’ and “work” shall include services provided by us under the Contract

  2. “Client” means the individual or organisation that buys or agrees to buy the Services from the Supplier

  3. “Contract” means the contract between the Supplier and the Client for the provision of Services incorporating these Terms and Conditions

  4. “Services” means the services that the Client agrees to buy from the Supplier

  5. “Terms and Conditions” means the terms and conditions for the provision of Services set out in this agreement and any special terms and conditions agreed in writing by the Supplier

  6. “Website” means yourvirtualassistant.ie



  • Client information is held securely and backed up in accordance with GDPR

  • Your Virtual Assistant shall keep any work undertaken confidential and not use it for personal gain or promotion without written consent of the Client.

  • Original work will be returned to clients as soon as work is completed, unless otherwise requested.

  • The business affairs of the Client shall not be discussed or disclosed to any third parties.

  • Any images supplied by the client remain their responsibility, with regards to obtaining rights for use. Images supplied us will be sourced with permission.

  • By accessing or using our Website (yourvirtualassistant.ie), you agree to use the Site in accordance with the following conditions:

    You agree not use the Site for any purpose that is unlawful under any applicable law or prohibited by this Policy or our website terms and conditions of use; not to use the Site to commit any act of fraud; not to use the Site to distribute viruses or malware or other similar harmful software code; not to use the Site for purposes of promoting unsolicited advertising or sending spam; not to use the Site to simulate communications from us or another service or entity in order to collect identity information, authentication credentials, or other information (‘phishing’); not to use the Site in any manner that disrupts the operation of our Site or business or the website or business of any other entity; not to promote any unlawful activity; not to represent or suggest that we endorse any other business, product or service unless we have separately agreed to do so in writing; not to use the Site to gain unauthorised access to or use of computers, data, systems, accounts or networks; to comply with the provisions relating to our intellectual property rights and software contained in our website terms and conditions of use.


  • First time clients will initially be invoiced in advance of work starting then all subsequent invoices will be at the end of every calendar month.

  • Payments are due on receipt of invoice for work undertaken under the ‘hourly rate’ option or after a one-off project is completed.

  • The Packages are pre-paid and will be invoiced in advance and payable within 7 days.

  • Any unused hours are non-refundable and are valid for that calendar month only e.g. hours bought in July are only valid for July, they cannot be taken over to the next month.

  • Your Virtual Assistant reserves the right to halt services and not return work if bills are not paid.

  • Additional items such as postage and package, printing etc., will be listed on invoices.

  • Postage/courier fees and any non-standard office supplies are not included in our hourly rates and will be billed separately.

  • Bulk printing (over 20 pages) will be outsourced and charged at cost and will be billed separately.

  • Receipts will not be issued unless requested.

  • The Client agrees to pay all invoices as per the terms stated on the invoice via PayPal or bank transfer.

  • All rates are quoted in Euro. For international Clients, invoices will be translated into your local currency (USD or GBP) at the rate of exchange from the time of our quotation.

  • Final proofreading and checking of all work supplied is the responsibility of the Client.

  • The Client understands that Your Virtual Assistant’s estimated cost for completing the Work is an informal calculation and any adjustments to the amount of work, schedule and/or the number of hours and fees is subject to review and renegotiation with the Client.

  • Any errors must be reported within two days of receipt of completed work. Errors made by us will be rectified free of charge, but amendments or alterations requested by the client thereafter will be charged at the standard hourly rate.

  • If, during the term of completing work for the Client, additional tasks are requested by the Client, we may renegotiate the fee and/or the deadline.

  • Unpaid bills will incur interest and it is at my discretion whether work continues after a bill remains unpaid beyond my 7-day payment period.

  • Billable time includes meetings and calls outside of contracted hours.

  • Once an invoice becomes overdue, no further work will be undertaken.

  • Either the Client or the Supplier has the right to terminate a contract for services if there is a serious breach of its terms.



  • All work requests should be submitted to us by email at info@yourvirtualassistant.ie.  

  • Any written correspondence between us and the Client, e.g. quotes, invoices and letters, will be sent by email unless otherwise agreed.

  • We can take receipt of any documentation associated with the assignment by Email, Memory Stick, An Post, and Courier.

  • The Client shall supply us with all information and materials which are required for the project or Work. It is the sole responsibility of the Client to ensure that the information and materials provided are accurate, legible and lawful.

  • Any details needed to complete work (e.g. passwords or templates etc.) should be submitted along with work at time of submission.  We will not start work until all the materials are received.

  • All reports and information provided by us to the Client during the performance of the Work are provided for the sole use of the Client and we accept no responsibility nor liability arising from any reliance that may have been made on such reports and information by any third parties unless we have been given prior written permission.

  • The Client shall fully protect us of all costs, claims, demands, losses and expenses whatsoever arising out of the use of the materials and in the respect of any defamation claim, infringement or alleged infringement of any patent, copyright, registered design or other third party’s right arising out of the use of such materials.


Intellectual Property - Your Virtual Assistant shall retain Intellectual Property Rights for any templates, documents, etc., created whilst working with the Client, and reserves the right to use these templates, documents, photographs, etc., with other companies who are not in direct competition with the Client.

Working Hours – Your Virtual Assistant’s working hours are from 9am  - 5pm, Monday to Friday.  Any communication outside of these hours will normally be dealt with on the next working day unless agreed in advance.

GDPR Notice - While every step is taken to keep the Clients data safe and secure, Your Virtual Assistant will never be fully immune to hacks, no one is.

Communication – The preferred method of communication for receiving instructions etc., is via email.

Turnaround - Any retained clients get priority. If you know you’ll be needing a set amount of hours every month or a specific task completed every month, you should consider a retainer package which you can view here or contact me by email to discuss what would suit you.


These terms and conditions may be updated at any time to suit the demands of business.
